Why is this hack helpful?

Time can be a deal’s worst enemy—every sales rep knows this truth too well. Luckily, there’s a simple trick that ensures you’ll never miss a beat when someone opens or interacts with your quote. Rather than constantly logging into HubSpot to check if a prospect has taken any action, you can create a handy workflow to notify you the moment that magic happens. It’s quick, straightforward, and gives you an extra edge in closing deals faster.

With this workflow in place, you’ll be one step ahead of the game. You’ll know instantly when your prospect engages with your quote and can jump right into action—whether that’s sending a quick follow-up email or giving them a timely phone call. After all, being prompt and proactive could be the difference between losing a deal and celebrating a new client.

Steps to Set It Up

1. Create a Quote-Based Workflow

  1. Go to Automations > Workflows in HubSpot.
  2. Click Create Workflow and select From Scratch.
  3. Choose the Quote-based workflow tile and click Next.

2. Set the Trigger for Buyer Interaction

  1. Define your enrollment triggers as:
    • Last Buyer Interaction Date is known OR
    • Last Buyer Interaction Date was updated in the last 1 day.

3. Add a Notification Email Action

  1. Click the plus icon to create the next step.
  2. In the Communications section on the left, choose Send internal email.
  3. Customise your email and add yourself (and/or others!) as the recipient.

4. Finalise and Publish

  1. Give your workflow a name.
  2. Review and publish your workflow.

Wrapping Up

Once your workflow is live, you’re instantly armed with real-time quote insights. Maybe you notice a prospect has opened the same quote several times in an afternoon—this could mean they have questions or concerns. Rather than leaving them hanging, you can swoop in with a quick call or email to clear things up and keep the deal moving along. That little moment of extra effort can make all the difference between a “closed lost” and a “closed won.”

With this workflow, you’ll never be caught off guard again. Think of it like your personal quote radar, always scanning the horizon and letting you know the moment any activity occurs.

So don’t let time kill your deals—take control and be the first to follow up when opportunity knocks!
